JOB SUMMARY:

The Executive Assistant provides high-level administrative and operational support to the Chief Executive Officer and executive leadership team. This position manages executive schedules, coordinates meetings and communications, prepares reports and presentations, handles confidential information, and serves as a liaison between executive leadership and internal and external stakeholders. The Executive Assistant exercises sound judgment, professionalism, and discretion while supporting organizational priorities and strategic initiatives.

JOB RESPONSIBILITIES:

  • Serve as a liaison between executives and internal/external stakeholders, fostering positive relationships and facilitating effective communication.
  • Assist in strategic planning and coordination of key projects and initiatives, driving cross-functional collaboration and ensuring successful implementation.
  • Identify and evaluate strategic opportunities that align with the organization’s objectives, providing recommendations for advancement.
  • Oversee financial oversight activities, including monitoring budgets, analyzing financial reports, and ensuring adherence to financial controls.
  • Conduct data analysis and prepare reports to provide insights on operational performance, identify improvement opportunities, and support strategic decision-making.
  • Drive change management initiatives, guiding employees through organizational changes and fostering a culture of continuous improvement.
  • Coordinate and schedule meetings, conferences, and travel arrangements for the Officers, ensuring smooth logistics and efficient use of time.
  • Prepare and edit correspondence, reports, and presentations, ensuring accuracy, professionalism, and alignment with strategic objectives.
  • Manage and maintain confidential information and documents, always exercising discretion and confidentiality.
  • Assist in the preparation of executive-level presentations and materials, ensuring compelling content, clarity, and visual impact.
  • Prepare memorandums outlining and explaining administrative procedures and policies to supervisory workers.
  • Participate in committees and meetings as directed by the Chief Executive Officer, contributing to strategic discussions and initiatives.
  • Provide administrative support to other departments as required, collaborating with various teams to achieve organizational goals.

MINIMUM REQUIREMENTS:

  • Bachelor’s degree in Business Administration, Public Administration, Communications, Human Resources, Hospitality Management, Organizational Leadership, or a closely related field required. Four (4) years of progressively responsible executive administrative support experience may be substituted for the required degree.
  • Experience providing direct administrative support to senior-level executives, executive leadership teams, Tribal leadership, or comparable positions.
  • Experience coordinating executive calendars, meetings, travel, and confidential communications.
  • Experience preparing professional correspondence, reports, presentations, agendas, meeting minutes, and executive-level materials.
  • Experience managing multiple competing priorities in a fast-paced environment while exercising independent judgment and discretion.
  • Experience coordinating projects, tracking deliverables, and following through on assignments across multiple departments.
  • Experience handling highly confidential and sensitive information with professionalism and discretion.

PREFERRED REQUIREMENTS:

  • Experience working with budgets, contracts, records management, or administrative processes preferred.
  • Experience working in Tribal government, Tribal enterprises, gaming, hospitality, or similarly regulated environments preferred.
