JOB SUMMARY:
The Member Services Manager ensures that all tribal members of the Prairie Band Potawatomi Nation receive enrollment, burial and VSP services in a timely manner. Ensures that agency requests are answered in a timely manner. Provides administrative assistance to the Election Board and Enrollment Review Committee. Ensures that staff and committees are adhering to the Tribal Constitution, Election Ordinance and Enrollment Ordinance.
JOB RESPONSIBILITIES:
- Directly supervises 4 employees, which includes but is not limited to: assigning and reviewing work, instructing, training, establishing schedule, setting objectives, recommending hiring and disciplinary action. Run and process BIA forms/inquiries.
- Administrative duties for Election Board ensuring that the Tribal Constitution and Election Ordinance are upheld.
- Administrative duties for Enrollment Review Committee (ERC) ensuring that the Tribal Constitution and Enrollment Ordinance are upheld.
- Prepare ERC agenda and attend ERC meetings.
- Approve purchase orders, ensuring no duplication of payment and within budget allowances.
- Develops and monitors overall budget of department (Election, Election Committee, ERC, burial, VSP and Member Services budget).
- Responsible for ensuring General Council Meetings and Elections are staffed with Member Services staff to maintain accurate records of sign-ins and quorum count.
- Prepare and submits quarterly and annual reports in a timely manner.
- Authorize enrollment applications and blood quantum review requests for ERC agenda and ensure requests are completed within the required timeline.
- Ensure that all records are accurately maintained and filed both electronically and paper files.
- Handle and process enrollment appeals.
- Ensure tribal member requests are processed in a timely manner.
- Administer enhanced tribal cards.
- Receive and process membership mailing list and membership data requests.
- Approve burial application request and monitor to ensure no duplicate payments.
- Maintain and develop procedures that will provide consistent service and responses to inquiries from Tribal Members.
- Attends director’s meetings and/or other meetings as requested
- Promotes positive guest service internally and externally to all visitors.
- Complies with the Nation’s policies, procedures, and practices.
- Maintains professional communication with all employees, management, and people outside of the organization.
- Maintains the integrity of sensitive information and always upholds confidentiality.
- Attends professional development workshops, organizational meetings, etc., as directed.
- Maintains full-time status by working a minimum of 40 hours per week within the assigned scheduled hours. MINIMUM REQUIREMENTS:
- MINIMUM EXPERIENCE : Five years of related experience in administration.
- MINIMUM EDUCATION: Bachelor’s Degree in Administration or other related field required, Associate degree with over 10 years administrative experience may be substituted in Business Administration.
PREFERRED REQUIREMENTS:
- PREFERRED EXPERIENCE: 8 – 10 years’ administration experience
- PREFERRED EDUCATION: Master’s degree in administration or another related field.
